Lost Files: Nightmare on Data Street

The Spark

Major disasters can get triggered by a tiny spark. The incident that brought such ordeal upon the company, let’s call it ABC Manufacturers, was also quite insignificant. It was Friday, 5:00 p.m., and Cindy, a data entry worker, was in a hurry to get the weekend started. She knew that her computer had been giving trouble all day, it was much slower, was not saving the files properly, and seemed to have little space left. She also knew that this was a matter that might indicate the presence of a virus or some other problem with the hard drive. But she just wanted to forget about it all till Monday morning. So when the computer didn’t shut down properly, Cindy did not care to wait or report it.

The Fire

When Monday morning did come, everyone was in for a nasty shock. The server had failed somehow, and after the dust settled on this, they discovered that none of the .edb files were around anymore. When Cindy’s computer had shut down abnormally, it had deleted a log entry, which, in turn, corrupted these files and crashed the server. The in-house ‘computer guy’ soon sniffed out the basics of the problem. However, he could not ascertain the degree of the damage, nor was he equipped to do so. They were now out of touch with their branches all over the country, couldn’t serve their customers, and their daily business activities had come to a standstill.

It should be mentioned here that the exact nature and cause of this mishap were revealed only much later when ABC finally got to a qualified expert. The CEO of ABC really wanted to fire Cindy then, but was forced to admit that he had never stressed the importance of taking certain simple precautions while handing their data to the operators, because it had not seemed important enough to himself.

A Costly Mistake

Around this time, one of the employees had a brainwave. He presented the CEO with a recovery kit he had bought on the net at a bargain price, and suggested that they use this software. Naturally, this made the poor man feel relieved, and he was elated at the tiny amount it would cost him. After applying this package, things got worse, as nothing else happened, except that the system seemed more dead than ever.

The Rescue

By now, ABC was in major trouble as it was already Wednesday, and things were going steadily downhill. Pressed by the urgency of the situation, they approached a professional data recovery company in the UK, which had been referred to them by a well-meaning concern with whom they had dealings. The first surprise was the cost. Like most big companies, this group also offered attractive discount schemes, which ensured very competitive pricing. The next surprise was less pleasant. The data recovery experts took the damaged server- drive to a ‘clean room’ – a specially maintained chamber where dust particles were extremely few and where the atmospheric conditions were strictly regulated. Here they opened the disc to see what had gone wrong and how it had happened. After checking the damages, the experts informed them that 90% of the data would be recovered. However, if ABC had not used the miraculous software themselves, 100% recovery would have been achieved. This kit had only corrupted the files further. This was the point when Cindy’s story was revealed in all its glory. The real cause behind this fiasco called for the promotion of greater awareness among all workers across all levels, and some introspection on the part of their manager. After making careful copies of the damaged drive, the company used its software to restore and save the data, which was handed over to ABC in a fresh disc. By this time, an entire week was lost. It did not help when an expert at the recovery group gently pointed out that things could have been sorted out long ago with greater efficiency and lesser cost to ABC if they had only come to them earlier. Somehow, the top honcho at ABC seems to be a poorer but wiser man now…

The Moral

Prevention is better than cure. And if you are sick, drive those 40 miles to the nearest doctor and pay his fees, but please don’t rush to the quack next door.
